Autofid Technician Management: How to Build, Track, and Optimise Your Workshop's Most Valuable Resource

Your technicians are simultaneously your highest cost and your highest value asset. A skilled technician with a full day's work generates significant workshop revenue. A technician sitting idle because jobs are not assigned efficiently, or one whose labour cost is not accurately tracked against job cards, represents money leaking from your business every hour. Most garage management systems treat technicians as little more than a name to attach to a job. Autofid's Technician module goes considerably further — creating a complete operational profile for each member of your workshop team that connects their work directly to your financial reporting.

This guide covers everything from creating technician profiles to understanding how technician data flows through job cards and into your labour cost reporting.

The Technician Profile: More Than Just a Name

Every technician in Autofid has a dedicated profile record that acts as the master data source for everything related to that person's role in your workshop. When you create a new technician record, you capture:

Personal and Contact Information

  • Full Name — First name and last name as they appear on job assignments, invoices, and internal reports
  • Phone Number — Direct mobile contact for scheduling changes, parts queries, and urgent job updates
  • Email Address — For system notifications, job assignment alerts, and internal communication

Specialties and Skills

Each technician record supports a Specialties field — a structured list of the specific skills and competencies that technician brings to your workshop. Examples include:

  • Engine and drivetrain diagnostics
  • Electrical systems and ECU programming
  • Air conditioning service (F-Gas certified)
  • Bodywork and paint preparation
  • MOT/NCT inspection
  • Hybrid and electric vehicle high-voltage systems
  • Tyre fitting and wheel alignment
  • Brake and suspension systems

Documenting specialties in Autofid creates a skills map of your workshop — making it easy to answer the question "Who on my team can do this job?" without relying on memory. When a complex diagnostic job arrives, you can immediately identify which technician has the right credentials rather than assigning it to whoever is available and discovering a skills gap mid-job.

Status: Active and Inactive Records

Technician records can be marked as Active or Inactive. When a technician leaves your business or takes an extended leave, marking their record inactive removes them from the job assignment dropdown without deleting their historical data. All jobs they completed remain attributed to them in your records — maintaining the integrity of historical cost analysis and audit trails.

This is significantly better than deleting technician records, which would orphan historical job data and create gaps in your labour cost reporting.

How Technicians Connect to Job Cards

The technician module does not exist in isolation — it is the data source that powers labour tracking across your entire job card system. Here is how that connection works in practice:

Primary Technician Assignment

When a job card is created, you assign a primary technician — the person responsible for the overall completion of that job. This assignment drives several downstream functions:

  • The technician appears on the service invoice (providing customer-visible evidence of who performed the work)
  • The assignment creates accountability — the job is "owned" by that technician until it moves to a completed or cancelled status
  • Labour hours recorded against the job are attributed to that technician for productivity analysis

Task-Level Technician Assignment

For complex jobs with multiple workstreams, Autofid's task list system allows different tasks within the same job card to be assigned to different technicians. This models how workshop work actually happens — a diagnostic technician identifies the fault, a parts technician strips the component, and the primary technician performs the repair and final road test.

Each task carries its own technician assignment, completion status, and notes — meaning the job card accurately reflects the multi-person, multi-stage nature of complex automotive work rather than collapsing it into a single binary complete/incomplete status.

Labour Cost Tracking: Connecting Hours to Money

The most financially significant function of technician management is labour cost tracking. Every job card records labour hours and the applicable labour rate — and this data feeds directly into your Workshop Profit and Loss report.

How Labour Cost Is Calculated on a Job Card

Labour Cost Calculation:
═══════════════════════════════════════════

Hours Worked: 3.5 hours
Labour Rate (cost): €28.00/hr (technician's effective hourly wage)
Labour Cost: 3.5 × €28.00 = €98.00

Hours Charged: 3.5 hours
Labour Rate (charge): €85.00/hr (your customer-facing labour rate)
Labour Revenue: 3.5 × €85.00 = €297.50

Labour Gross Margin: €297.50 − €98.00 = €199.50 (67%)

The gap between what a technician costs per hour and what you charge the customer for that hour is your labour margin — one of the most important metrics in any workshop's financial performance. Autofid tracks this across every job, giving you a workshop-wide labour margin figure in your P&L report.

Why Technician Pay Rate Recording Matters

For labour margin to be meaningful, the technician's actual employment cost must be recorded accurately. This typically means their gross hourly wage including employer-side payroll costs (PRSI/NIC contributions, pension contributions). Many workshops ignore this and track only the charge rate — which makes their workshop appear more profitable than it actually is. Autofid gives you the tools to record the real cost, so the P&L reflects reality.

Technician Productivity: What the Data Tells You

Over time, the accumulated job card data linked to each technician creates a performance dataset that reveals patterns invisible to day-to-day management. Through your Workshop P&L and job card history, you can analyse:

Jobs Completed Per Period

How many jobs does each technician complete per week, month, or quarter? This is your raw throughput metric. A technician completing significantly fewer jobs than their peers may be dealing with more complex work (appropriate), or may have efficiency issues that need addressing (actionable).

Average Hours Per Job Type

If a specific technician consistently takes longer than expected on annual services compared to others, that is a training opportunity. If they complete complex electrical diagnostics faster than the estimated time on every job, that is a speciality worth leveraging — route more electrical jobs their way.

Labour Recovery Rate

The ratio of billable hours to available hours. If a technician is in the workshop for eight hours but only four hours appear on job cards as billable labour, 50% of their capacity is unrecovered — absorbed by non-billable time, waiting, or administrative tasks. The Workshop P&L highlights this through the average revenue-per-job metric across different technicians.

Managing Your Technician List: Search, Sort, and Maintain

The Technician management page in Autofid displays all registered technicians in a sortable, searchable table. The table shows each technician's name, specialties, contact details, and active status — giving your workshop manager a complete at-a-glance view of available resources.

Searching Technicians

The search function filters technicians by name — useful in larger workshops where finding a specific technician quickly across a long list saves time during busy booking periods.

Sorting

Sort the technician list by creation date (most recently added first, by default) or alphabetically to match whatever view makes operational sense for your workshop management style.

Adding New Technicians

New technician records are created through the Add Technician workflow — a simple form that captures all profile fields and immediately makes the technician available for job card assignment. There is no configuration lag: as soon as the record is saved, the technician appears in the assignment dropdown on all new job cards.

Technician Management Best Practices

Practice Why It Matters
Create technician records before the first job is assigned Ensures labour is attributed correctly from the first day of use; retroactive correction is possible but time-consuming
Document specialties accurately and keep them updated Makes job assignment decisions faster and more reliable, especially for specialist work
Use inactive status rather than deletion when a technician leaves Preserves historical job attribution and cost reporting integrity
Record labour cost rates (not just charge rates) on job cards Enables meaningful labour margin analysis in the Workshop P&L rather than inflated gross figures
Assign technicians to individual tasks, not just the overall job Provides granular labour attribution for multi-technician jobs
Review job completion rates monthly by technician Identifies capacity, efficiency, and training needs before they become financial problems
